We attend high-end events, civic galas, and corporate activations across Boston to build enterprise partnerships. Now we need one disciplined, relentless Sales Pipeline & Events Coordinator to make sure every opportunity we touch turns into business.
The MissionYou are the control tower for all outbound and partnership follow-up.
When the team meets new contacts, you ensure:
- Every card is logged.
- Every lead gets a proposal.
- Every proposal gets a follow-up.
- Every follow-up has a next step.
No leaks. No maybes. Every name lives somewhere in the pipeline.
This is a fast-moving, hands-on role that blends sales coordination, follow-up execution, and light event support. You’ll work directly with the founders and see your impact on revenue every single week.
Core Responsibilities🧠
1️⃣ Pipeline Execution & Follow-Up- Input all new leads from events, hotels, and partnerships within 12 hours.
- Send proposals, pricing decks, and follow-ups within 24 hours of contact.
- Maintain daily visibility over ~100 active opportunities.
- Run the “Revenue Board” (whiteboard or CRM dashboard) — update, track, and present progress.
- Prepare and deliver polished, professional follow-up emails and collateral.
- Schedule meetings, confirm appointments, and manage reminders for leadership.

2️⃣ Reporting & CRM Discipline- Maintain a clean, current CRM (HubSpot, Pipedrive Airtable, or similar).
- Track each stage: Lead → Quote → Follow-Up 1 → Meeting → Contract.
- Create daily or weekly summaries for leadership: wins, losses, next steps.
- Ensure every lead has a next-action date — never let a contact go cold.

3️⃣ Events & Partnerships- Support presence at all partner events.
- Collect and organize business cards / digital leads.
- Prepare and print materials (banners, brochures, pricing sheets).
- Manage post-event reporting and follow-up sequences.

- Anticipate needs — draft recap emails, prepare talking points, confirm follow-ups.
- Operate like an executive assistant with a revenue mindset.
KPIs & Metrics- 100% of new leads logged within 12 hrs of receipt.
- 100% of quotes/proposals sent within 24 hrs of request.
- No lead idle more than 7 days without a follow-up.
- Weekly pipeline update delivered by Friday 3 PM.
- Monthly report: # of active leads, # of quotes sent, # of meetings booked, # closed.
Who You Are- 2–4 years in sales coordination, event coordination, or executive support.
- Fast, organized, and relentless — you don’t wait to be told twice.
- Excellent written English; can draft confident, polished client emails.
- Energized by structure: CRM hygiene, color-coded boards, and deadlines.
- Assertive communicator — unafraid to chase follow-ups and drive accountability.
- Boston-based and available for in-person work and local events.
